Introduction

Rhino offers three different methods of Record Keeping.

This guide explores how to use the Invoicing & Expense Keeping Method which is ideal should you wish to use this app to create Invoices.

Selecting the Record Keeping Method

Click on the MY BUSINESS Menu and click on the Settings Icon for each Self-Employed Business.

Select the Create Invoices and Track Expenses Option

Note:  You can only select this option for ONE Self Employed Business. You will need to use the Simple Record Keeping method if you have more than one Self Employed Business.

This method is not available for UK Property or Foreign Property.

If you select the Invoicing option, click on the Invoice Settings button to configure the Invoice Settings.

Use this screen to configure the Invoice Settings:

  • Update your Trading Name and Address
  • Upload your Logo (if you have one)
  • Set your Invoice Numbering Format.
  • Update your Terms & Conditions
  • Update Other Notes that you wish to appear on the Invoice.

Adding Invoices

Click on the INCOME button to access the Invoice Entry and Update screen.

Add the information you wish to appear on the Invoice.

  • Select the Customer /Add a new Customer.
  • Enter the Invoice Description
  • Enter the Amount for the Invoice.

Note: the Terms & Conditions and Notes that you entered in the INVOICE SETTINGS automatically appear on the Invoice.  You can tailor this information on each invoice.

Once you click the SAVE button, you will have the option to PREVIEW the Invoice.

You can edit it should you wish to update the content.

Once you are satisfied with the content, you must FINALISE the invoice.

This is an important step because it turns it from a DRAFT Invoice into a real Invoice by assigning it an Invoice Number.

Adding Expenses

Click on the Expenses button to add or edit Expenses.

We have added a feature that will let you easily customise which Expense Types are visible in your system.

Click on the PERSONALISE button at the bottom fo the Expense page to configure the Expenses Types.

The list contains all the permitted Expense Types for a Self-Employment and Property business.

To make the system easy to use, you can simply disable or hide Expenses that are not relevant to your business.

You can also change the terminology to something that is more familiar to what you do.

Click on an Expense Type and edit the Name of the Expense Type to make it easier to understand.

Click on the ADD button to enter an Expense.  You will need to specify:

  • The Expense Type
  • The Date
  • The Amount
  • With the Option to add notes.

You can also attach an Expense Receipt to each Expense.

If you are using the App version of this software on your phone or iPad, you will have the option to take a photo of the Expense Receipt.
